Assuming your particular Office 365 environment has been configured to enable message encryption, here's how to send an encrypted message. Note that when the recipient of your encrypted message replies, their response will also be encrypted.
When sending encrypted messages, it's a good idea to send a normal, unencrypted message ahead of time to alert your recipient to be on the lookout for your encrypted message. The look and feel of the encrypted message is mimicked by some phishing schemes, so your recipient may be suspicious if not expecting it.
- Using the classic version of Outlook, create a new message.
- Choose the "options" tab at the top
- From the padlock, choose "encrypt-only"
- Compose and send your message
- If using the "new" Outlook, compose a new message.
- From the Draft menu, select encrypt and select encrypt-only.
- Compose and send your message
When your recipient receives the message, it will look similar to the message below.
Once they click on the "read the message" button, they'll see a message similar to below.
Once they click "sign in with a One-time passcode," they'll see something similar to below. They will need to check the email address you originally sent the encrypted message to to get their one-time passcode and paste it into the "one-time passcode box and click "continue."
Your recipient will now be able to view your encrypted message and, optionally, securely reply to it as well.
